Customizable Views in Resource Planning
The Resource Planning system offers a highly customizable interface, allowing users to tailor views to their specific preferences and workflow needs. By adjusting filters, groupings, date ranges, and display options, users can efficiently visualize, analyze, and manage resource allocations at different levels.
Planning Views
Resource planning can be accessed at different levels, depending on the scope needed:
- Personal planning: Home > My Planning ↗ – Access a personalized view of your own allocations.
- Organization-wide planning: Organization > Planning ↗ – View planning across the entire organization.
- Project-specific planning: Projects > a Project > Planning – Focus on allocations for a specific project.
- Tag-based planning: Tags > Client > a Client > Planning – View planning based on specific tags, such as Client or Role.
- Individual-based planning: People > a Person > Planning – See planning details for a specific employee.
These different levels provide flexibility in managing and reviewing resource allocations at the most relevant scope.
Planner Display Options
The planner offers a wide range of customization options to optimize resource visualization:
1. Date Range Selection
Date Range Picker: Select a specific period for resource planning.
2. Filters
Filter by specific employees or by employee tags (e.g., Role, Department, Location).
3. Allocation Type Selection
Toggle checkboxes to show or hide specific allocation types:
- Hard Allocations – Confirmed resource bookings that impact project and organizational finances.
- Soft Allocations – Tentative allocations used during the planning phase.
- Sales Allocations – Resource reservations for potential deals and upcoming projects.
4. Sorting Options
- By Name (Ascending/Descending) – Sort employees alphabetically.
- By Closest Availability – Prioritizes employees who become available the soonest.
- By Most Available / Least Available – Sorts employees based on their total availability within the selected date range.
5. Grouping Options
Group by any tag, such as Role, Client, Team, or Department, for structured visualization.
6. View Modes
- Daily View – Displays allocations on a daily basis for detailed tracking.
- Weekly View – A more compact view for high-level planning.
- Show/Hide Weekends – Toggle weekends on or off based on planning needs.
Organization Planning Settings
Administrators can configure organization planner settings ↗ to customize the view:
1. Default Allocation Colors
If a project-specific color is not defined, this color will be applied to allocations.
2. Booking Status Colors
Underbooked, Fully Booked, and Overbooked indicators appear as a color-coded status bar above each allocation cell.
3. Project Name Format in Planner
Administrators can customize how project names appear in the planner:
- Name only – Displays the project name (e.g., “MWT Polar Tickets”).
- Project/Deal & Name – Includes a Project/Deal indicator (e.g., “Project MWT Polar Tickets”).
- Code & Name – Shows both the Project Code and Name (e.g., “JR-11 MWT Polar Tickets”).
- Project/Deal, Code & Name – Displays all identifiers (e.g., “Project JR-11 MWT Polar Tickets”).
4. Visible Employee Groups
- Defines which tags or groups are displayed under an employee’s name in the planner.
- By default, all tags are shown, but administrators can override this setting.
By leveraging Customizable Views, teams can gain better insights, reduce complexity, and improve planning efficiency.
